Getting Started

Chapter is a free platform built specifically for student organizations. It helps you manage meetings, track attendance, run events, coordinate volunteers, collect member feedback, and connect with brand sponsorship opportunities. It is built and operated by Campus Event Connect, a company that has connected student organizations with brand sponsors since 2023.

Chapter is built for any student organization that holds regular meetings or events. This includes fraternities and sororities, professional clubs, honor societies, cultural organizations, academic clubs, student government associations, sports and recreation clubs, and service organizations. If your org has members and meets regularly, Chapter was built for you.

Yes. Chapter is completely free for student organizations. There is no subscription fee, no per-member charge, and no credit card required to sign up. Campus Event Connect funds Chapter through brand partnerships, so your org never pays anything.

Request early access at campuseventconnect.com/early-access. We will reach out within 24 hours to get your organization set up. Once approved, you create your org, set up your profile, and invite your members using a unique 6-character invite code.

Most organizations are fully set up within 10 minutes. Creating your org takes about 2 minutes. Inviting members takes another few minutes depending on your roster size. Running your first meeting with QR check-in can happen the same day you sign up.

No. Chapter is a web-based platform that works on any device through a browser. Members access it at the Chapter web address. For check-in, members just scan a QR code with their phone camera. No app download required.

Yes. Chapter supports bulk CSV roster import. Export your existing member list as a CSV file and upload it directly. Chapter will create pending member records that are linked to member accounts when they sign up.

Meetings and Attendance

When you create a meeting in Chapter, the system generates a unique QR code for that meeting. Display the QR code on a screen at your meeting. Members open their phone camera, scan the code, and they are checked in automatically. Attendance is recorded in real time and visible to officers immediately.

Officers and admins can manually check in any member directly from the meeting detail page. Manual check-ins bypass location and time requirements and are noted as manually entered in the attendance record.

Only if the meeting is marked as virtual. For in-person meetings, Chapter uses location-based verification to confirm members are physically present. Members must be within the check-in radius you set when creating the meeting. You can adjust this radius from 50 to 500 meters.

When you toggle the virtual meeting option on when creating a meeting, location verification is disabled. Members can check in from anywhere using the QR code. This is designed for Zoom, Google Meet, or other remote meetings.

Yes. When creating a meeting you choose how early members can check in before the start time. The default is 30 minutes before. Members who try to check in outside this window will see a message telling them when check-in opens.

A streak is the number of consecutive meetings a member has attended. If a member attends every meeting in a row, their streak keeps climbing. Missing a meeting resets the streak to zero. Streaks are displayed on the leaderboard and on each member's profile.

The leaderboard shows all members ranked by their attendance streak or attendance percentage. It is visible to all members and updates in real time as check-ins happen. Officers can switch between streak rankings and overall attendance percentage rankings.

Yes. When creating a meeting you can set it to repeat weekly, every two weeks, or monthly. You set an end date and Chapter creates all the individual meeting records automatically. Each recurring meeting gets its own QR code and attendance tracking.

Yes. Each meeting has a built-in rich text notes editor. Officers can write notes during or after the meeting, format them with headers and lists, and choose whether to share them with all members or keep them visible to officers only. Notes can be exported as a PDF.

Yes. Chapter supports exporting attendance data from meetings including member names, check-in times, check-in method (QR or manual), and members who were present on the roster but did not check in.

Officers and admins can remove a check-in record from the meeting detail page. A confirmation is required before removal. The attendance record is deleted from Firestore.

Yes. After selecting a location on the map when creating a meeting, you can save it as a favorite. Saved locations appear at the top of the location picker for future meetings so you do not have to search for the same address every week.

Yes. Officers and admins can cancel any meeting from the meeting detail page. You can include an optional cancellation reason. Cancelled meetings are marked clearly with a cancelled status and appear in a separate cancelled tab on the meetings page.

Events

Meetings are recurring, internal gatherings of your organization members. Events are larger, potentially public activities like formals, philanthropy events, or recruitment nights. Events support volunteer position management, run of show planning, guest check-in, and event sponsorship requests in addition to member attendance.

When creating an event you can add volunteer positions with a title, number of available spots, and start and end times. Members see the available positions and sign up directly in Chapter. You can see in real time how many spots are filled for each position.

The run of show builder lets you create a timeline of activities for your event. You add time slots, activity descriptions, and assign owners to each item. The run of show can be printed or shared with your team.

Yes. Events have their own QR check-in system separate from meetings. Event attendance is tracked independently and does not affect meeting attendance streaks or leaderboard rankings.

Yes. The same cancellation flow that exists for meetings also applies to events. Cancelled events are clearly marked and removed from active sign-up.

Guest Check-in

Guest check-in allows people who are not members of your organization to check in at your meetings or events. When enabled, a separate QR code is generated that guests scan to fill out a form with their contact information. This is separate from the member check-in QR code.

You can collect first name, last name, and email address from all guests by default. You can optionally add fields for phone number, university, year, and major. You can also attach a survey to the guest check-in flow to collect additional feedback or interest.

Kiosk mode is designed for tablet or iPad check-in at the door of your event. When enabled, the guest check-in form automatically resets after each submission so the next guest can check in without any officer involvement. A countdown timer shows before the form resets.

From the guest list on any meeting or event detail page, officers can click Invite to Join next to any guest record. This marks the guest as invited. When they sign up using your org's invite code or link, their guest record is linked to their new member account.

Yes. Guest data collected through Chapter can be exported as a CSV from the meeting or event detail page.

Members and Roles

Chapter has three roles per organization. Admin is the highest level with full control including deleting the organization and managing all settings. Officer can create and manage meetings, events, and surveys, and can manage member roles and positions. Member can attend meetings, sign up for event positions, fill out surveys, and view shared content.

Yes. A single Chapter account can be a member of multiple organizations with different roles in each. The org switcher in the sidebar lets you move between your organizations instantly.

Each organization has a unique 6-character invite code. Share the code or a direct invite link with anyone you want to add. They sign up for a free Chapter account and are automatically added to your organization when they use the code.

Yes. Officers and admins can assign a position label to any member such as President, Treasurer, Social Chair, or New Member. This position is displayed on the leaderboard and member profile.

Yes. Admins can remove any member from the organization from the Settings page under Members and Roles. The member's account is not deleted, only their membership in that organization.

Yes. Chapter supports CSV import from the Members page. Upload a CSV with name and email columns and Chapter will create pending member records. Pending members are prompted to create their account when they use the invite code.

Surveys

You can create surveys from the Surveys page and share them with members or attach them to guest check-in flows. Survey responses are collected in real time and visible to officers immediately. You can control whether results are visible to all members or officers only.

Chapter supports short text, long text, multiple choice (single answer), checkboxes (multiple answers), yes or no, 5-star rating, and 10-point rating questions.

Yes. When configuring guest check-in for a meeting or event, you can attach an existing survey. Guests are redirected to the survey after completing their check-in form. In kiosk mode, the system resets after the survey is submitted.

Yes. Survey responses can be exported as a CSV from the survey results page.

Sponsorship and Opportunities

From the Get Sponsored page inside Chapter, officers can submit any upcoming meeting or event directly to the Campus Event Connect brand network with one click. Your org profile, attendance history, and event details are included automatically. Campus Event Connect reviews submissions and connects you with brands when there is a fit.

No. Submitting an event does not guarantee sponsorship. Campus Event Connect facilitates connections between student organizations and brands, but matches depend on brand availability, event type, audience size, and other factors.

The Branded Opportunities page at campuseventconnect.com/branded-opportunities lists specific brand partnerships available for student organizations to apply to. These are packages posted by brands looking for specific types of organizations or events.

Chapter organizations have access to exclusive brand opportunities not listed publicly. These partnerships are available to active organizations that meet Chapter's activity requirements. Premium opportunities are accessible from within the Chapter app.

Rewards

Rewards is a section inside Chapter where members of active organizations can access exclusive offers from brands. Offers include discount codes, free products, and other perks from national and local brands.

Rewards unlock automatically when your organization meets the activity requirements. These include having at least 10 members, scheduling your first meeting, completing your first meeting with attendance tracked, and scheduling your first event. The unlock progress is visible from the Rewards page inside Chapter.

Yes. Campus Event Connect manages the Rewards catalog and adds new offers from brand partners on an ongoing basis.

Yes. Any member of an organization that has unlocked Rewards can browse and redeem available offers. Redemption is tracked per member to prevent duplicate use of single-use codes.

Privacy and Data

Only members of your organization can see your organization's data. Officers and admins see everything including attendance records, guest lists, and survey results. Members see their own attendance, shared meeting notes, leaderboard rankings, and survey results when visibility is set to all members.

No. Individual member data is not shared with brands. When orgs submit events for sponsorship, aggregate information such as org size, event type, and estimated attendance is shared. No individual names or contact information is shared with brand partners without explicit consent.

Yes. Organization admins can delete the organization from the Settings page under Danger Zone. Deletion requires typing the organization name to confirm. This action permanently deletes all organization data including meetings, events, attendance records, and member relationships.

Yes. Account deletion can be requested from the Settings page. Deleting your account removes your profile and removes you from all organizations you are a member of.

Technical

Chapter works on any device with a modern browser. This includes desktop computers, laptops, tablets, and smartphones. The interface is fully mobile-responsive with a bottom navigation bar optimized for phone use.

Chapter works best on Chrome, Safari, Firefox, and Edge. For QR code scanning, members use their phone camera directly. No special browser extension is required.

Chapter is currently a web application accessible through any browser. A dedicated mobile app is on our roadmap. The web experience is fully optimized for mobile and works reliably as a progressive web app.

Chapter requires an internet connection for most features. Check-in, attendance recording, and real-time updates all require connectivity.

When a member scans the check-in QR code, Chapter requests their device location. It then calculates the distance between their location and the meeting location set by the officer. If they are within the check-in radius, check-in is approved. If not, they see a message indicating they are too far from the meeting location.

Chapter uses OpenStreetMap with Leaflet.js for the location picker. This is a free, open-source mapping system. Officers can search for an address, use their current location, click the map to drop a pin, or drag the pin to adjust placement. A satellite view toggle is also available for more precise placement.
